The German Historical Institute, Washington DC (GHI), a member institute of the Bonn-based Max Weber Foundation, is a center for advanced studies that promotes transatlantic dialogue and collaboration in history and related fields. It is seeking a highly motivated individual, fluent in English and ideally also in German, for the position of an Event and Administrative Assistant for its regional office in Berkeley, California (GHI West). GHI West is located at the Institute of European Studies (IES) at the University of California Berkeley. IES is also a program partner for many of GHI West’s events. The central responsibility of GHI West is to foster international and interdisciplinary networks of scholars and to support German researchers in taking advantage of the rich research opportunities on the West Coast.

Working closely with the Program Officer at GHI West as well as the Head Office in Washington, the assistant supports with the planning and management of a variety of events from lectures to multi-day conferences.

His/her primary responsibilities include, but are not limited to:

  • Arrange travel for lecturers and conference participants
  • Create flyers and electronic event announcements
  • Set up and maintain event registration
  • Prepare event materials (programs, conference folders, name badges, etc.)
  • Organize and maintain supplies for events and general office use
  • Staff events (set up room for lectures and conferences, prepare coffee breaks, etc.)
  • Maintain a database for conference organization
  • Collaborate closely with the GHI administration in Washington on payment records and bookkeeping to ensure adherence to relevant German and American/CA regulations

Qualifications

  • Proficiency in Microsoft Office (especially Word, Outlook, and Excel)
  • Familiarity with Adobe Creative Suite is a plus
  • Working knowledge of e-mail marketing and event registration platforms
  • Excellent oral and written communication skills
  • Ability to work independently and with teams
  • Strong organizational skills and ability to multi-task
  • Attention to detail
  • Flexibility in schedule to work occasional evenings and weekends
  • Bachelor’s degree or equivalent years of work experience
  • German language skills a plus

The advertised position is part-time (20 hours/week). The successful applicant will be offered a two-year contract; an extension is possible. The GHI offers competitive salaries and a generous benefits package. Please note, a US work permit is required for this position.
